JOB DESCRIPTION

I. POSITION TITLE: Admitting Office Representative

DEPARTMENT: Admitting Department

REPORTS TO: Director of Admissions

II. DEFINITION AND AUTHORITY: The admitting rep. is responsible for performing administrative and clerical functions as outlined in the job specific competencies for the Admitting Department, under the supervision of the Director of Admissions.

III. QUALIFICATIONS: A minimum of LPN or Therapy Assistant license. In addition will benefit from secretarial experience which includes knowledge and skills in use of computers and typing skills (60 words per minute). Demonstrated effective office management, organizational skills and knowledge of medical terminology/conditions. External and internal applicants, as well as incumbents must be able to perform the essential core tasks either unaided or with the assistance of reasonable accommodation (to be determined on a case by case basis).

IV. PHYSICAL/MENTAL DEMANDS:

May necessitate prolonged sitting or standing.

Requires corrected vision and hearing to normal range with or without use of prosthetics which will enable him/her to function adequately in accordance with job responsibilities.

Move and utilize equipment used routinely in patient care.

Must be able to relate to the chronically ill and/or disabled, brain injured adult and/or elderly.

Must be able to speak, write and understand the English language to facilitate effective communication with patients, families and visitors.

Motor coordination demonstrated through performance of technical procedures in accordance with established standards.

Must be able to cope with the mental and emotional stress of the position.

Ability to adapt to a changing situation or environment.

V. ENVIRONMENTAL DEMANDS:

Requires use of office equipment such as computers, copiers and telephones.

VI. COMPETENCY EXPECTATIONS FOR ADMITTING CLERK

A. POSITION SPECIFIC COMPETENCIES:

Admission Registration and Coordination

Accurately collects all information necessary for processing an admission. Uses judgement re: LOC determination, contact with patient, family or hospital discharge planner to obtain correct information.

Able to prepare an admission from start to finish. Including communication with liaison, determination of LOC, notifying all appropriate parties of the admission and any specialized clinical nuances that would benefit staff prior to pt arrival, processing admitting forms, information to be given to the patient, identification materials and other paperwork for admission.

Reviews census information each morning, including admissions/discharges/transfers, and updates the hospital information system accurately.

Performs other duties in the Admitting area and is knowledgeable about other tasks in the event coverage is needed. Accepts supervision and task delegation from the Nurse Coordinator or Director.

Data Entry and Information Coordination

Provides accurate data entry for all preadmission and admission information in the hospital information system.

Understands and fulfills responsibilities re: gathering complete insurance information from patients, including copies of insurance cards, referral of patients/families to Patient Accounts for advice, explaining and obtaining consents, and referring problems to the Manager. Understands and can explain information about health care proxy, organ donation and patient rights.

Coordinates ambulance order functions. Keeps accurate records of ambulance orders.

Public Relations

Receives patient to be admitted, extends introduction to Spaulding Hospital Cambridge, accompanies patient to nursing unit when possible, and informs the nursing unit of patients arrival.
