Responsibilities * Provides general administrative duties in support of the Employee Field Office. Ensures a consistent client experience by greeting clients and prospects upon arrival to the office and answering phones. As time permits, this position may also provide practice management support for advisors and leaders. * General administrative duties performed for entire office may include: distributing and tracking correspondence, setup and ongoing maintenance office of supervisory jurisdiction and client files, office supply management, ensuring office machines are operating in good condition, copying, processing expense management forms, initiating maintenance requests, handling bank deposits. * Responsible for answering phones during regular business hours, greeting clients and prospects in the reception area, maintaining professional appearance of all common areas. * Practice Support duties may include: scheduling client or wholesaler appointments, entering client data into various applications, closing financial plans and maintenance of plan tracker, addressing client assignment issues, setup of new advisor workstations, assisting advisor in preparation or follow-up to client meetings and correspondence, printing and distributing of reports. Required Qualifications
* High School Graduate * 1 to 3 yrs experience * Excellent interpersonal skills to interact effectively with clients. Effective proven written and oral communication skills. Strong client service orientation. * Ability to function in fast-paced environment and maintain operational quality. Demonstrated ability to handle multiple priorities. * Effectively complete tasks in the most efficient and accurate manner. Ability to be team player. Strong organizational skills and detail oriented. * Proficient with standard office equipment. Familiar with standard business hardware and software. Understanding of a financial advisors practice. * Able to maintain confidentiality. Demonstrated professionalism. Ability to operate under limited/minimal supervision.
